Your Role: The Face and Voice of Our Practice
Position Summary
As the Front Desk Associate, you will be the cornerstone of our practice’s operations and patient relations. You will provide exceptional, empathetic service both in person and over the phone, creating a welcoming and efficient environment from the moment a patient contacts us. Your role is critical in building the trust that allows our clinical team to provide outstanding medical care.
You will be responsible for interviewing patients to obtain complete and accurate demographic, financial, and insurance information, which is essential for billing. This position requires a unique blend of clerical precision, interpersonal warmth, and problem-solving skills to maintain the smooth flow of operations in our medical office.
A Day in the Life: Key Responsibilities
Your day will be dynamic and varied, filled with opportunities to make a tangible difference. Your core responsibilities will include:
Patient Interaction & Customer Service:
- Greet every patient and visitor with a warm, professional, and welcoming demeanor.
- Display the highest level of professionalism and provide superb customer service consistently.
- Manage multiple patient communication pathways, including multi-line phone systems, a messaging portal (Solution Reach Conversations), and email/fax.
- Act as a liaison between patients and our clinical staff to ensure a seamless and positive patient experience.
Administrative & Clerical Excellence:
- Conduct patient interviews to collect and meticulously review all demographic and insurance information for accuracy.
- Schedule, reschedule, and confirm patient appointments using our practice management software.
- Verify patient insurance eligibility and benefits prior to appointments.
- Collect patient copays, co-insurance, and outstanding balances at the time of service.
- Ensure all patient intake forms are signed, completed, and properly filed.
- Process requests for medical records in strict compliance with our policies and HIPAA regulations.
Financial & Operational Management:
- Maintain the cleanliness and organization of the front desk area.
- Balance cash drawers and prepare daily deposit reconciliations.
- Enter and update patient information in our electronic health records (EHR) system with a high degree of accuracy.
- Coordinate with the back-office clinical team to manage patient flow and minimize wait times.

Education & Certifications:
- Required: High School Diploma or Equivalent Certificate.
Required Experience & Skills:
- A minimum of 2 years of experience in a medical office or healthcare setting.
- A minimum of 2 years of experience with healthcare insurance verification, benefits, and terminology.
- Strong computer knowledge and skills with a minimum typing speed of 30 WPM.
- An impeccably clean, polished, and professional image.
- Must be highly dependable, organized, and punctual.

- Outstanding interpersonal and communication skills—you can put anyone at ease.
