About Lumina Healthcare: Illuminating the Path to Better Care

At Lumina Healthcare, we believe in bringing light—Lumina—to the lives of those in need of specialized, compassionate healthcare. We are a dynamic and growing provider dedicated to serving vulnerable populations in post-acute care settings. Our expert teams of dental and podiatry professionals deliver essential, on-site care to residents of skilled nursing facilities, nursing homes, assisted living communities, and long-term acute care hospitals. We bridge the gap between specialized medical services and the patients who need them most, ensuring dignity, comfort, and improved quality of life.

We are more than a healthcare company; we are a community of dedicated professionals who understand that exceptional patient care begins long before the clinician walks into the room. It starts with trust, clear communication, and meticulous organization—the very heart of our Front Office.

Your Role: The Heartbeat of Our Patient Experience

We are searching for a compassionate, detail-oriented, and exceptionally organized Remote Front Office Specialist to become the central hub of our patient communication and administrative operations. This is not just a call center or data entry role; you will be the first and most consistent point of contact for our patients, their families, facility staff, and insurance providers. You are the ambassador of the Lumina experience, ensuring every interaction is professional, empathetic, and efficient. Your work directly removes barriers to care, alleviates anxiety for families, and allows our clinical providers to focus wholly on patient treatment.

As a fully remote team member, you will enjoy the flexibility of working from your home office in Texas, while being seamlessly connected to a supportive team through modern collaboration tools. We provide the technology, training, and team support; you provide the talent, dedication, and heart.

A Day in Your Life: Key Responsibilities & Impact

Your role is multifaceted, blending customer service, administrative precision, and healthcare coordination. Your core duties will include:

1. Patient & Family Liaison (The Human Connection):

  • Serve as the primary point of contact, answering incoming calls and emails with patience, clarity, and empathy.
  • Triage questions regarding treatments, scheduling, and general inquiries, providing accurate information or expertly routing them to the correct clinical team member.
  • Conduct compassionate patient consultations to explain recommended treatment plans, ensuring patients and families understand the proposed care.
  • Discuss sensitive financial information, including cost of services, insurance coverage details, co-pays, and flexible payment options with transparency and tact.
  • Provide valuable community resources and referrals for continuing care beyond our scope, acting as a trusted guide for patients and families.

2. Guardian of Access & Logistics (The Orchestrator):

  • Masterfully schedule and coordinate patient visits across multiple facilities, optimizing provider routes and respecting patient preferences.
  • Answer pre-visit questions, including those related to billing, to prepare patients and reduce day-of-visit anxieties.
  • Meticulously verify patient insurance eligibility and benefits prior to services, using portals and direct communication with various insurance entities (Medicare, Medicaid, Managed Care, Private Insurers).
  • Proactively secure prior authorizations for procedures, navigating insurer requirements to prevent delays in critical care.
  • Scan, file, and manage all relevant patient documents and paperwork within our secure Electronic Health Record (EHR) system.

3. Administrative & Clinical Support Partner (The Backbone):

  • Perform accurate and timely data entry and analytical tasks to maintain pristine patient accounts.
  • Confidentially manage patient accounts, updating demographic and insurance information with a high degree of accuracy.
  • Provide vital administrative support to our clinical staff, allowing them to maximize their time with patients.
  • Assist the care team in documenting and tracking quality assurance goals and best practice initiatives.
  • Review and process relevant paperwork, ensuring compliance with professional standards (like HIPAA) and complex regulatory requirements.

Who You Are: Skills, Experience, and Mindset

We are looking for a candidate whose professional abilities are matched by their interpersonal strengths.

Required Skills & Experience:

  • Exceptional Communication: You possess outstanding verbal and written English communication skills. You can explain complex insurance or medical terms in simple, understandable language and de-escalate concerns with calm professionalism.
  • Superior Customer Service Ethos: A genuine desire to help people. You are patient, respectful, and see every interaction as an opportunity to serve.
  • Technical Proficiency: You are familiar with basic computer operations, can navigate multiple software systems (EHR, scheduling platforms, insurance portals), and are comfortable with email, video conferencing, and cloud-based collaboration tools (e.g., Microsoft 365, Teams). Training on specific platforms will be provided.
  • Organizational Mastery: You are a natural organizer with an impeccable eye for detail. You can manage multiple tasks, prioritize effectively, and maintain accuracy in a fast-paced environment.
  • Discretion & Integrity: You handle sensitive Protected Health Information (PHI) with the utmost confidentiality and understand the critical importance of HIPAA compliance.
  • Problem-Solving Orientation: You are resourceful and proactive. When you encounter a hurdle—be it a denied authorization or a confused family member—you take initiative to find a solution.

Highly Valued (Bonus Qualifications):

  • Previous experience in a healthcare front office, medical billing, or patient scheduling role.
  • Familiarity with medical terminology, particularly in dental or podiatry.
  • Direct experience with insurance verification, prior authorizations, and discussing financial responsibilities with patients.
  • Experience working in a remote or hybrid work environment.

  • The ability to sit at a workstation for extended periods.
  • A dedicated, quiet, and secure home office space free from distractions to protect patient privacy.
  • Reliable high-speed internet connection.
  • The mental focus to handle complex, multi-step tasks and occasional emotionally charged conversations with resilience and compassion.
